How do we collect information?

We will obtain personal details from you when you register to use the Website. We maintain two completely separate databases for the purpose of storing your personal details.


When you complete your registration details, all of the personal details that you enter into the registration form enter our first database and are immediately anonymised.
When you sign up to receive newsletters and details of competitions, your email address and user name (and no other personal details) will be directed to and collected by a second database, which is maintained separately from any of your other personal details held anonymously on the first database. The second database is solely for email newsletters and details of competitions. This service is optional. Reports will be generated from this second database that will show us how many emails from any one mail-out are opened. This is solely to enable us to judge the success of an email campaign and for no other purpose.

 

What information do we collect?

The types of information that we collect are your email address, the first part only of your post code (the area code), your age, gender, reason for joining the Start2 website, your occupation, your creative experiences, how you heard about us and your ethnicity.

 

How do we use this information?

As mentioned above, we will anonymise your personal details from the outset, as soon as they are entered into our first database.  This is done by a computer programme rather than by a person; we have set up processes which enable software to automatically process the anonymous data contained in this first database.


We will use your anonymised personal details to develop and improve the services on the Website, with the aim of further benefitting users of the Website.


Specifically we will use the anonymised personal details to

  • help us assess the benefits of using the Website – we hope this will help us to attract more funding to keep Start2 running, and we also hope this will help us to design further effective and useful Website materials for Start2
  • help us generate and analyse reports about how many visitors are using the Website and the type of visitors that the Website is attracting. We hope that this information will help us to improve the Website for the benefit of users. 

 

The email confirmation that is generated for you after you have submitted your registration form is computer-generated. Any further emails that you may receive about the service, after your initial registration, will also be computer-generated.


Where you have signed up to receive newsletters and details of competitions, we will, from time to time, send you emails containing these.


We will not use your personal details in ways other than as described in this policy, unless required by law.   

 

Sensitive data

Under the Data Protection Act 1998 any data about an individual’s ethnicity and physical and/or mental health condition is called sensitive data. The Data Protection Act 1998 requires that we obtain your ‘explicit consent’ to collect such sensitive data. We therefore ask you to tick a box to indicate your consent. As explained above, all of your sensitive personal details relating to ethnicity and health, are collected and anonymised automatically by our first database.


Your anonymised sensitive data will only be used to analyse and generate reports about how many visitors are using the Website, the type of visitors that the Website is attracting, and the benefits those visitors may be experiencing, but no more than that. We hope that this information will help us to improve the Website for the benefit of users.

 

How do we protect personal information?

An organisation called Verge Media helps us to host, operate and maintain the Website using a secure server. We also take appropriate measures to ensure that all the information disclosed to us is kept secure, accurate and up to date and kept only for so long as is necessary for the purposes for which it is given.


Unfortunately, no data transmission over the Internet is 100% secure. While we make every reasonable effort to ensure that information sent to us is done so securely, we cannot warrant the security of information transmitted to us through the internet. When you transmit information to us via the internet, you do so at your own risk.

 

Will we disclose the information we collect to outside parties?

Staff at Verge Media, like us, can only access your anonymised personal details for the purpose of analysing and generating reports about how many visitors are using the Website, the type of visitors that the Website is attracting, and the benefits those visitors are experiencing. They supply these reports to us at our request. Verge Media will be able to access the limited personal details held about you on the second database (your email address and Website username) for the purpose of helping us to send you newsletters and details of competitions.


The first and second databases are not linked up in any way, and no person handling the information in the two databases will be able to make such a link.


We may need to disclose your personal details if required to do so by law.

 

Accessing and updating your information

If your personal details change, please help us to keep your information up to date by updating your account details, which can be found under ‘My Start2 settings’ in your ‘Ownzone’.
